PA -Fantastic position available in north London for an experienced PA, great days and hours.
A wonderful opportunity to support two lovely executives and philanthropists with two beautiful household estates. It’s an incredible role with a large scope, working with a team of an Estate Manager & Chief of Staff, two housekeepers, two nannies, a PM, and a host of contractors.
The principal has a stunning 7-bedroom property in London and 10-bedroom estate in the Cotswolds. They are the happy homes to two young children, and the family is active in horseback riding, travelling, and always outward bound on their next adventure. The successful candidate would be a terrific lifestyle manager, exceptionally organised and proactive, efficient, take an enthusiastic and confident approach, and be able to multitask under pressure. Strong communication skills, flexibility, good contacts, and an ability to work autonomously and together with the Chief of Staff are essential. Experience with property management, being tech savvy, and proficiency with Mac and MS products are also essential. Hours are 8.30 am to 5 pm Mon through Fri with occasional out of hours support. PA will stand in for Estate Manager in their absence. A four-day week is a possibility.
Duties
Key areas of responsibility:
Organising celebrations and events
Coordinating social activities, booking appointments and managing diaries
Handling purchases, logistics, tickets and memberships
Managing household errands and returns
Managing private and commercial travel, holidays and packing
Organising and maintaining office systems, including filing, contacts, supplies, and inventories
Assisting with house maintenance and repairs by scheduling, monitoring and liaising with trade appointments
Coordinating with a team of staff
PA will stand in for Estate Manager & Chief of Staff in their absence, assisting with:
Refurbishment, landscaping, and maintenance projects.
HR and managing staff, including payroll and rotas.
Coordinating a team of contractors, including builders, interior designer, project managers and contractors.
Household finances, including invoices, bank accounts, and employee expenses.
Maintaining systems that help households run smoothly, including filing, inventories, contacts, manuals, rotas, and invoicing.
Updating a Planned Preventative Maintenance (PPM) schedule for properties.
Reviewing major expenditures, particularly for utilities and service providers, to ensure that the most efficient option is in place.
Implementing an out of hours matrix for emergencies.
Ensuring household insurance is up-to-date and documents are on file.
Candidate requirements
5+ years’ experience and successful track record delivering on the above.
Excellent contacts and strong supplier relationships.
Ability to multi-task and work efficiently and accurately
Have a sense of humour.
Good people and communications skills – be supportive, flexible,
Be a good problem solver.
Be self-directed and manage tasks on their own while working supportively with team members.
Anticipates issues in advance, be proactive and use good judgment.
